Before you add any new Item you always want to make sure it doesn’t already exist in the database.
 
Start typing the name of the creator in the Value field on the right.

If you see an auto-suggestion corresponding to the name of the person you're looking for, click to select it, then click to Save the statement. We have three types of licenses in the database:

In the Value field to the right, add the person’s role. For example, writer, editor, or graphic designer.

However, keep in mind, this Index is not always up-to-date, so the best way to make sure if a role exists is to search for it in the database. If it does not exist, remember that you need to add a new Item for that role.

In the next field to the right paste in the file name for the media file page you copied before. If you don’t have it copied you can just start typing the file name and corresponding files will be auto suggested as you type. Click on the auto suggested options to select them.  
You may add multiple qualifiers to one individual if they played multiple roles.


Now you can press save and your image will be linked to your Item page, or, you can add some qualifiers before you save.

To do this click on "+ add qualifier".
When you are satisfied with the roles and qualifiers you’ve recorded in the Statement, click “save”.


In the field that appears you can choose different properties. Some that you may want to add if your media is an image the qualifiers which can be used with this property are “depicts”, “annotation” and “license”.

We recommend adding a source only in cases where it may not be obvious, e.g. there is no need to record the publication colophon as source for every statement. However, a source could be  useful to add if there is conflicting information available in multiple sources, for example,  if a different publication date is listed on the publication colophon than on the artist’s website.

If you are adding other media, that is not the work itself but rather secondary documentation related to it, such as an image from an event, a video or an audio file, it has a similar process but is added using the property “digital artefact”. Digital artefacts will appear in a different section on the front-end so even if they may also be images, make sure you use this property instead.  


To see an example of how the property “digital artefact” is used go to our Example Work Page and scroll down to the statement “digital artefact”. You can always find the Example Work Page under the header “Example artwork pages and case studies” on the Main Page.

To link a video or a sound file to your Item, it needs to be uploaded to another website such as Soundcloud, YouTube, Wikimedia Commons, among others. Copy the URL used to access the media file at the site where it is uploaded. In Wikimedia Commons you can copy the URL to the file from the address bar.

When you have copied the URL to your media file follow Step 10 - 11 of this tutorial, but instead of using the property “image” in your statement you need to use the property “digital artefact”. As the value to your property you paste the URL you have copied.  


Before you press save you can add which format the file is in. To do this press “+ add qualifier” and start typing “format” in the property bar. It will be auto suggested as you type.  
For example, once an Item, such as the Item for creator or publisher, is linked to in the publication’s Item page via the properties “creators / contributors” or “publisher”, that statement will automatically create a reverse link within the database, too. These links are accessible via the “What links here” option in the Tools section of the Menu sidebar on the respective Item pages for the creator or publisher.


To add the value in the next bar, choose “image file” if your file is an image, or alternatively  “video file” or “audio file”, as it corresponds to the file.

This is a fast and efficient way to discover cross-references within the database, which removes the need to manually create ‘reverse Statements’ (i.e. manually listing all the works an artist has created on their own Item page).


As an optional step, if your file is an image, you may also add an additional qualifier using the property “licence” to add under which licence you are sharing the image. In the value bar start typing the name of the license you chose when uploading the image. The license  which will be auto suggested as you type. Click on it from the suggestions to choose.

Linking other items needed to describe a work

At the end of Tutorial 4, we established that adding Statements about who created/contributed, published, or commissioned a work often involves referring to multiple other Items (which, as explained in Tutorial 3, can be person(s) or organisations as well as published works, objects and processes, among other things).

Each and every Item you refer to must exist within the database for a Statement to be made.

So, to add all the information relevant to your Item, you may find you need to create other new Items first.

For example, to make a Statement about who created a work (Item), you must ensure that an Item page exists for the creator as well.

Search the database to check. Then, if the creator (Item) does not yet exist in the archive, you must add it.

The following steps will guide you through adding a Statement about the creator/contributors of a published work to your Item page about this work.

Step 1

Click on “+ add statement”.
